The Meeting Problem

Posted on March 30, 2026 by Bill Rowley

Board meetings that spend 90 minutes on reports and 10 minutes on decisions aren’t governance.

They’re theater.

I’ve sat through too many board meetings that felt urgent…

…but accomplished nothing.

Why does this happen?

Because most board meetings are designed for information transfer — not governance.

The pattern looks like this:

→ Staff reports. Board listens.
→ Treasurer reports. Board nods.
→ Motion to approve. Everyone agrees.
→ Adjourn.

But here’s the problem:

Governance questions never get asked.

→ “Are we still on mission?”
→ “What risk aren’t we talking about?”
→ “What decision would make the biggest difference right now?”

Effective boards prepare before the meeting…

…so the meeting can focus on discernment — not data delivery.

Board meetings are where governance becomes visible.

If it looks like a briefing, something is off.

If your board meetings feel unproductive, look for this:

  1. Most time is spent on reports, not decisions
  2. Dissent is rare or discouraged
  3. You leave wondering what was actually accomplished

💬 What’s one change that made your board meetings more effective—

—or one change you wish someone would make?
